Call Summary Template for Clear Sales Follow-Up

Use a concise call summary template that records the caller, request, urgency, facts, owner, and next step without burying the useful details.

  • Copyable template
  • Sales follow-up
  • Call notes

What a useful call summary answers

A summary is not a shorter transcript. The next person should know who called, what they need, what was promised, and who owns the next action.

Keep facts separate from interpretation. “Caller reports water under the sink” is safer than “pipe has burst” unless that was confirmed.

Copy this template

  • Caller: Name, company, and callback number
  • Reason: The request in the caller’s words
  • Location or account: Only what the team needs to find the right record
  • Urgency: Routine, soon, or urgent under your approved rule
  • Key facts: Dates, symptoms, property, vehicle, matter, or other required fields
  • Action taken: Message, booking request, transfer attempt, or connected workflow
  • Next owner: Person, team, or queue responsible for follow-up
  • Follow-up window: What the caller was told, without inventing an ETA

Example

Caller: Morgan Lee, 555-0104
Reason: Estimate request for a panel upgrade
Location: Oak Street property
Urgency: Routine; no heat, smoke, or sparking reported
Action: Callback requested for Tuesday afternoon
Owner: Estimates queue
Note: An electrician must set the final scope and price

Check before sending

  • Remove sensitive data the recipient does not need.
  • Do not turn a caller’s statement into a diagnosis, legal conclusion, or promise.
  • Keep transfer attempts distinct from successful transfers.
  • Keep requested times distinct from confirmed availability.
  • Link to the full call record when someone may need the transcript or captured fields.

After phone setup and a real call test, AnswerCheap can store the available summary and call record. Use the call summary and transcript controls to decide where those records should go.
